Blog #1 - Communication and Team Behaviour

Communication occurs two ways between two or more people verbally and non-verbally. It can be understood differently by different people based on their experiences and knowledge. In this blog, I will be recording and analyzing the observations of my team’s discussions from my perspective.

To begin with, I observed that my team has exhibited an important principle of effective communications, active listening. My team dedicates full attention to the speaker who is sharing his ideas. While listening to the speaker, team members respect the speaker by demonstrating positive body language such as nodding and giving eye contact. After the sharing session, questions are asked to clarify doubts or main points are rephrased to affirm the meaning. Most importantly, at any one time, there is only one speaker. Though the team did not set this ground rule, team members intuitively comply with it.

In addition, my teammates participate in meetings very actively. They are prepared to share their ideas and thoughts. They are also willing to listen to others’ opinions and internalize it. As such, many interesting ideas are proposed thus, the discussions are successful.

Nevertheless, it is inevitable that every team will face difficulties. During the first meeting, the team struggled with the focus of the meeting. There was a slight dispute over whether the team should focus on graphic user interface or the features to be implemented in the project. I was astonished when Yu Kai mentions that the team should focus on the features in a serious tone with a straight face as I perceived that as anger. The team responded in a normal tone hence it did not lead to a serious disagreement. The team came to an agreement of focusing on features as it forms the foundation for designing systems based on Systems Development Life Cycle (SDLC); a process of creating systems.

I also observed that our first meeting took longer than expected as more time is necessary to complete the discussions and settle administrative matters. Furthermore, the team went off topic to talk about other assignments of CS2103T module. It is also hard to allocate tasks due to insufficient understanding of individual team members. From this, I realized that my team is lack of a systematic way to handle meetings.

To conclude, I have gained a better understanding of my teammates through the discussions we had. I noticed that everyone has their own way of expressing their thoughts through verbal and non-verbal communications. In the case of Yu Kai, speaking in a serious tone and straight face is his normal way of communicating with others. While Zhenyang nods his head and smile when he agrees to a certain idea.

Also, I am grateful for my teammates’ willingness to comprise their break times for meetings despite their busy schedules. For this reason, I would like to propose three improvements to reduce ineffective discussions. Firstly, we need to settle administrative matters and lay the pipelines for communicating and sharing documents as soon as possible. Secondly, we need to allocate a time keeper to ensure that meetings are not over run. Lastly, we need to allocate a person to keep the team focus on the topics for discussion.

  1. Hey Kim! Nice to hear that you too feel that we are working fine as a group with a few needed improvements.

    I'm glad that you brought up the part where you perceived Yu Kai's comment as anger. I think its best that we should all justify our argument with some reasons instead of just stating it. Yu Kai justified it at a later part and only then did we understand his argument.

    I believe our team's mode of communication should be better over the days. We now have a central storage area (Google Docs), common way of communication (Facebook) and common meeting times.

    I am forecasting a brighter working environment with you guys since the last meeting on Friday!

  2. Hi Sathish, I agree with you that we need to justify our argument so that everyone would understand each other's stand. I am glad that no one raises their voice when communicating as this would greatly decrease the chances of having conflicts. In my past experience, I have encountered teams where many team members would be arguing at the same time while some members are checking their phones. Hence I am really happy that we respect each other and that we give each other the chance of speaking.

    Thank you Sathish for setting up the Facebook group and Google Docs. I believe our pipeline for communicating and sharing files are in place thus, our team should be able to work more efficiently.

  3. Hey Kim! A really wonderful reflections about our very first meeting. I am glad to see that you regard our meeting as a successful one. The suggestions for the improvements are also very constructive. For the first point, I think the pipelines method will separate people from discussing the same topic. Sometimes I think maybe we just sacrifice some time to spend time discussion together. It is a trade off.If time is so limited, we can choose your method.

    I myself did not notice my nonverbal communication in the discussion. It is from your blog that I got my image in the meeting. I feel very excited that my behaviors were caught by the team mates. On the other hand, I also feel the pressure, since every body language will be noted down in the meeting. But, I will try my best to have a good performance as a team player.

    I think Yu kai is a 'strict' and academic person. In my opinion, he was not angry but he was serious about his point. His opinions were always constructive and followed the requirements we need to obey. He made our discussion not go away from the main requirements.

    Thanks for your wonderful blog. I think we will have more and more successful meetings in the future.

  4. Hi Zhenyang, maybe it is also good to spend more time to discuss since we have not spend much time together. Hence our understanding of each other is not very in depth. I agree with you that it is a trade off.

    You don't have to feel the pressure, just be yourself. Everyone is being themselves during the meeting from what I observed. The more you try to act or pretend to be someone else, the easier it is for people to know that this is not who you are. People may also perceive it as a barrier between you and them. Your nature body language helps us to understand you better. My reason for noting that down is to show that our team's communication is going well.

    Yes, I think Yu Kai is a serious person and his opinions are quite constructive. I am quite glad that he is in our team. I can tell that he did put in much effort to ensure we are not off track.

  5. Well, the “anger” part seems like a very common impression people have of me. However, I am still surprised to read about it in your blog. The possibility that my tone could lead to a conflict hasn’t occurred to me before and I guess it is as good reason as any to try to improve on it.

    On the topic of impressions, I was amazed when you showed us a PowerPoint Slide detailing your ideas on the features and user interface during our first official group meeting. Hopefully, your enthusiasm and work ethic rubs off on all of us.
